A mid-sized services company approached us with a challenge to automate their daily attendance logging process. This was dependent on team members uploading Excel via Slack and followed by manual HR data entry into Google Sheets.

The Challenge

The client completely relied on Slack for team communication, and they use Excel sheets for daily attendance tracking. The HR executive would then download the file shared by team leads on their dedicated Slack channels and manually extract attendance data and update a master Google sheet.

Our Solutions

We have designed an automated attendance workflow using n8n, an open-source, node-based workflow automation platform. The workflow was designed to respond automatically to Slack uploads, extract the process data from Excel sheets, update a monthly Google sheet, and post a summary in Slack, all within seconds.

Features of the workflow:

  • MS Excel reader: helps to extract attendance metrics (present,half-day, absent, leave) from the uploaded file.
  • Slack trigger: listens for an Excel file uploaded in a specific Slack channel.
  • Google Sheets integration: it automatically updates a structured monthly attendance sheet.
  • Automated summary: it sends the summary message back to Slack with key attendance metrics for the day.

This workflow eliminated manual tasks and introduced real-time attendance visibility for managers and hr personnel.
